Job Purpose: The incumbent will provide comprehensive administrative and operational support to the Sales & Marketing division, ensuring smooth execution of business activities, sales processes, tender procedures, and marketing initiatives in compliance with company standards and healthcare industry regulations.

Tasks & Responsibility:

1. Marketing support. 

1.1. Manage marketing materials and promotional items: 
- Collect requirements from the Marketing Department 
- Create PR with respective cost centers and coordinate with the Procurement Department for order placement and follow-up.
1.2. Support the Marketing team in organizing marketing events.
1.3. Assist the Marketing team with the approval process in CLM.

2. Sales & Tender Support

2.1. Prepare and manage sales documents: letters, quotations, contracts, and other paperwork.
2.2. Provide supporting documents as requested by customers.
2.3. Support Aesculap in running COSMOS and assist team members with data entry and approvals.
2.4. Assist SM/GM with travel requests and claims.
2.5. Handle tender-related tasks:
- Collect tender information from distributors and share with Sales team.
- Coordinate pricing and get internal approvals.
- Prepare and submit tender documents (legal, financial, product info, certificates).
- Confirm prices on distributor platforms and manage tender samples.
- Prepare tender contracts after award and update price lists in SAP.

3. Administrative Support 

3.1. Manage office supplies (stationery, pantry) and PCN service 
3.2. Coordinate meeting room bookings and company guest arrangements

3.3. Liaise with building management for any process & procedure needed.

Qualification Requirement

  • Bachelor's degree in any major, Pharmaceutical/Marketing/Business Administration background is a plus
  • Fresh Graduate or Less than 1 year of experience in Sales/Marketing support, preferably in the medical or healthcare industry
  • Knowledge of tender processes and compliance requirements is prefered
  • Strong organizational and multitasking skills.
  • Proficient in MS Office; SAP experience is an advantage.
  • Good communication and coordination abilities.
