Position Summary:

The Employee Expense Reimbursement Coordinator is responsible for managing and processing employee expense reports in an accurate, timely, and policy-compliant manner. This role plays a critical part in maintaining financial integrity by ensuring all submitted expenses adhere to company policies, regulatory requirements, and budget guidelines.

The coordinator serves as a primary point of contact for employees regarding expense-related inquiries, providing guidance on submission procedures, documentation requirements, and reimbursement timelines. They review expense reports for accuracy, verify receipts and supporting documentation, and coordinate approvals with managers and finance teams.

Additionally, the role involves maintaining detailed records, identifying discrepancies or potential policy violations, and assisting in audits or financial reporting activities. The Employee Expense Reimbursement Coordinator may also recommend process improvements, support system updates, and contribute to training initiatives to enhance compliance and efficiency.

Success in this position requires strong attention to detail, organizational skills, customer service orientation, and a solid understanding of financial policies and expense management systems.

 

Responsibilities: Essential Duties

  • Process travel and expenses in Concur, while ensuring compliance with the company's travel and expense policies
  • Manage and monitor Concur user profiles by maintaining changes, adding new users, and terminating previous users as necessary
  • Ensure policy compliance using T&E system audit tools; general system oversight and coordination with Concur & travel management provider.
  • Manage and configure the system in test and production environments which includes workflows, expense policy groupings, etc.
  • Process HCP travel & expense reports in compliance with all applicable policies, laws and regulations.
  • Work closely with IT, Finance, HR and external vendors to ensure system optimization
  • Serve as the point person for end users of the Concur expense management platform and help with user inquiries and follow-ups.
  • Train all new and existing employees on best practices related to travel and expenses
  • Maintain FAQs/T&E resources within the intranet, and proactively reach out to key users/groups for training/communication.

Required:

  • High school diploma/G.E.D or equivalent required, Associate's or technical degree preferred.
  • 2+ years related experience required.

  • Occasional business travel required
