Job Responsibilities:
1. Operational Excellence:
- Act as a first point of contact for managers and employees for all HR transaction-related queries.
- Act as a first point of contact for handling telephone calls and e-mail queries into the HR Shared Service Centre (HRSSC).
- Take ownership of the resolution of callers’ issues, provide guidance and solve problems as the first point of contact whenever possible.
- Ensure that all queries are logged using the enquiry management tool. - Handle general inquiries, supported by answers to predefined questions.
- Provide timely, accurate, and valuable answers to complex HR-related local or global queries from employees and business managers on Learning administration topics, in close alignment and collaboration with Center of Competence (CoCs) and HR Business Partners.
- Maintain contact with CoCs to develop and sustain a detailed understanding of the designated processes and policies.
- Support learning reporting in close alignment with SSC Global Reporting Hub.
- Interpret policy and solve its problem.
- Provide administrative support.
- Assist in training new agents and may also coach and mentor junior agents.
- Follow established procedures and guidelines to perform in the area of responsibility accurately and timely.
2. Projects/Initiatives/Programs:
- Support continuous improvement of Learning processes in close alignment with CoCs and Global Process Coordinators.
3. Processes and Policy:
- Communicate policies, directives and processes.
- Act according to global process standards.
For more senior level position:
- Ensure overall good customer experience and perform reception duty as and when needed.
- Work closely with CoCs on pre-defined learning projects and support the execution of learning products and processes.
- Proactively involved in cross-departmental teams and projects.
- Provide process expertise and identify improvement potential in order to increase efficiency and customer satisfaction.
- Promote efficient and effective delivery of Learning processes (e.g. training administration, performance management administration) by solving complex inquiries that require specific HR knowledge and/or higher degree of policy interpretation.
- Deliver country-specific/business unit/global specific training when needed.
- The job function listed is not exhaustive and shall also include any responsibilities as assigned by the Supervisor from time to time.
Job Requirements:
- Bachelor’s degree (minimum) in Administration, HR or relavant field.
- 2-4 years of relevant experience in Workforce Administration including legislation of discipline for country served.
- Fluent English and one additional major regional language (Malay, Chinese, Japanese, Vietnamese or Hindi) required.
- Strong communication and customer service oriented with the ability to work under pressure with tough deadlines.
- Strong process management skills with analytical and problem solving capability for complex tasks.
- Stay informed and updated with relevant regulations of the country served.
- SSC experienced highly desirable.
- Experience with HR Cloud Systems highly desirable, preferably SAP SuccessFactors.
- Advance Microsoft Excel skills preferred and at least 2-3 years experience in handling L&D is preferred.
